To create a new PIMSS4Communities data extract definition

The procedure to create a new PIMSS4Communities data extract definition is as follows:

  1. Navigate to Quick Menu > System > Configuration > PIMSS Export Configuration. The PIMSS Export Management window is displayed.
  2. Click on New Export. All fields are activated ready for data entry 1.
  3. Using the Export type drop-down field, select a parameter value to define the subset of data records to be exported i.e. Assets or Works orders.
  4. Enter an Export name into the field provided i.e. a meaningful description of the export definition 2.
  5. Enter the destination folder path for the exported records into the File location field provided 3.
  6. Using the Company drop-down field, multi-select all companies applicable to this export definition, or choose the All option, as required 1.
  7. Choose an Effective from date for this export definition i.e. the date on which it came into effect.
  8. Choose an Effective to date if the export definition is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the export definition will be continually valid.
  9. Enter the File name that will hold the exported records into the field provided i.e. the naming convention is at the discretion of the end user.
  10. Use the Active tick box provided to determine the operational status of the export definition.
  11. Click on Save. The new PIMSS4Communities data extract definition is displayed in the alphabetical list and the full range of prescribed data fields relevant to the export type are shown in the Fields to include summary table 4.


Tip

1 Where only a small number of parameter values are not required, activate the All tick box first and then de-select individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is de-selected.

Note

1 Upon first access, all fields are automatically activated ready for data entry; hence the New Export button is inactive.

2 System validation rules ensure that the name entered for each PIMSS4Communities data extract definition is unique for the effective period.

3 In a load balanced network solution, the selected folder must be accessible by all application servers.

4 To amend the details of an existing PIMSS4Communities data extract definition, select an export from the alphabetical list or type its name into the Search Exports field. By default the list is filtered to show Current exports. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations. Only a limited number of fields can be updated once a record has been created.
