To add a tenant refusal record to an equipment item

Where a resident denies access to the property for equipment-related servicing visits, safety checks, or remedial action required to mitigate product defects, the contextual background and extenuating circumstances can be captured as a formal 'tenant refusal' record.


The procedure to add a tenant refusal record to an equipment item is as follows:

  1. Using the global search facility, type in the first few characters of the asset address 1.
  2. With the results displayed in the Asset tab, double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon ().
  3. Click on Asset Details. The Asset Details window is displayed for the current asset.
  4. Click on Equipment Register 1. The Equipment Register tab is activated, revealing those Equipment items that are pertinent to the asset record in current focus, as displayed in the corresponding grid.
  5. Double-click on the row matching the equipment item against which a tenant refusal instance is to be recorded.
  6. Click on New Refusal. The Tenant Refusal window is displayed.
  7. Using the Reason drop-down field, select a parameter value to qualify the nature of the refusal 2.
  8. Use the Note field to capture the contextual background to the refusal instance.
  9. Using the Refusal type drop-down field, select the desired parameter classification relevant to the refusal instance e.g. Equipment Servicing Refusal, Product Defect Refusal, Electrical Safety Check Refusal, etc. 3.
  10. Using the Refusal Method drop-down field, select a parameter value to denote how the refusal was communicated e.g. In Person, Email, Letter, Text, etc.
  11. Choose an Effective from date for this refusal instance i.e. the date on which it came into effect 4.
  12. Choose an Effective to date if the refusal instance is to be time bound; a blank field means the record will be continually valid.
  13. Use the Select Contact spy-glass icon () to identify the resident linked to the refusal instance. The Search Contact window is displayed.
  14. Enter sufficient contact details into the search fields provided and click on Search. The Select Contact window is displayed, returning all possible matches.
  15. Double-click on the row matching the contact who refused the equipment-related work, or use Refine Search to enter alternative criteria. The name of the Contact is displayed in the corresponding grid.
  16. Click on Save.

1 Use the Left () and Right () scrolling arrows to reveal additional tabs that might be hidden from view.

Note

1 The search facility will return all possible matches for any corresponding address field once the Number of characters before an automatic search commences system preference is reached.

2 These custom values can be populated by the end user via the system parameter entitled Refusal Reason.

3 Only those refusal options mapped to the overarching equipment type will be available for selection.

4 The Effective from date defaults to the current system date and cannot be left blank.
