Planned upgrade works that are not related to safety (e.g. bathroom replacements or thermal comfort improvements) can reasonably be refused by the tenant, particularly where they have legitimate grounds or extenuating circumstances, and these projects will then typically be postponed for a set period of time. By creating a Tenant Refusal Map covering different replacement scenarios, these refusals can be easily tracked and managed.
The procedure to create a tenant refusal map for a stock condition replacement scenario is as follows:
- Navigate to Quick Menu > Asset Management > Configuration > Configure Tenant Refusal Mapping. The Configure Tenant Refusal Mapping window is displayed.
- Click on New Mapping
1. All fields are activated ready for data entry.
- Using the Company drop-down field, multi-select all companies relevant to the operating boundaries of this tenant refusal map, or choose the All option, as required

- Using the Refusal type drop-down field, select the desired parameter classification relevant to the replacement scenario e.g. Declined, Health Considerations, Inconvenient Timing, Work Disruption, etc.

- Using the Replacement type drop-down field, multi-select the desired parameter classifications that are relevant to the tenant refusal map, or choose the All option, as required

- Using the Location drop-down field, multi-select all planned upgrade focus areas that align to the tenant refusal map, or choose the All option, as required.
- Choose an Effective from date for this tenant refusal map i.e. the date on which it came into effect

- Choose an Effective to date if the tenant refusal map is to be time bound; a blank field means the defined mapping will be continually valid.
- Click on Save. An entry reflecting the defined tenant refusal mapping appears in the alphabetical list.
Tip
1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is deselected.
Note
1 Upon first access, all fields are automatically activated ready for data entry; hence the New Mapping button is inactive.
2 These custom values can be populated by the end user via the system parameter entitled Refusal Type.
3 These custom values can be populated by the end user via the system parameter entitled Replacement Type.
4 The Effective from date defaults to the current system date and cannot be left blank.
