To add an action to a data update rule

The procedure to add an action to a data update rule is as follows:

  1. Navigate to Quick Menu > Asset Management > Configuration > Configure Data Update Rule. The Configure Data Update Rules window is displayed.
  2. Expand the relevant group heading and select a data update rule from the hierarchical list, or type its name into the Search for Data Update Rules field. By default the list is filtered to show Current data update rules. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All 1.
  3. Click on New Action. The Rule name field is pre-populated with the update rule in current focus.
  4. Using the Rule type drop-down field, select the desired action applicable to the data update rule. Each prescribed record management activity is summarised in the table below.

1 The Search for Data Update Rules field will match against any element of the group description, rule name or action contained within the hierarchical structure.

Add Attribute (Delete Attribute)

This allows a new Attribute to be ascribed dynamically to an entity record, with the option to incorporate completed work and survey data as part of the rule outcome i.e. indicating that the new attribute has arisen through completed work activities. The counterpart action - Delete Attribute - controls the removal of such items, along with the associated warranty cover and linked tenant refusal instances.

Add Replacement (Delete Replacement)

This allows a new Replacement Item to be ascribed to an entity record, capturing the relevant lifecycle integer, default quantity, the completed work origin status, associated warranty information and the next scheduled survey. The counterpart action - Delete Replacement - controls the removal of such items, along with the associated warranty cover and linked tenant refusal instances.

Add Characteristic (Delete Characteristic)

This allows a specific Characteristic to be inserted against an entity record, with the end user steering the matching value range. The counterpart action - Delete Characteristic - is also controlled in exactly the same way.

Complete Planned Work

Once planned works are completed, the corresponding replacement items can be cascaded through to the relevant entity records, capturing the lifecycle integer, warranty cover and survey details, as well as defining the appropriate planned works classification.

Add Energy (Delete Energy)

A specific Energy related question can be inserted against an entity record, along with the underlying lookup, string or integer data type used to control the permitted field values. An equivalent action - Delete Energy - can be employed to remove existing questions that meet certain criteria e.g. a specific value, a range of values or, more broadly, any value.
