To update the verifiction stage of an application

The procedure to update the verification stage of an application is as follows:

  1. Using the global search facility, type in the first few characters of the application contact 1.
  2. Double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon ().
  3. Click on Contact Details. The Contact Details window is displayed for the current contact.
  4. Click on Application. The Application tab is activated, revealing a list of all enquiries and applications associated with the contact in the Application summary table.
  5. Double-click on the row containing the specific application on which verifications have been raised. The Application Reference window is displayed.
  6. Click on Verification. The Verification tab is activated and a list of all verifications raised for the application is displayed in the Application Verification summary table.
  7. Double-click on the row containing the specific verification item to be updated. The Verify Item window is displayed 2.
  8. Using the Status drop-down field, select the outcome of the verification process in respect of this item i.e. Verified, Evidence Provided Unsatisfactory, Expired, Not Required.
  9. Enter the Verification Date using the calendar icon (), or type in the value directly (format DD/MM/YY or DD/MM/YYYY) i.e. the date on which the verification was conducted.
  10. Enter the Expiry Date using the calendar icon (), or type in the value directly (format DD/MM/YY or DD/MM/YYYY) i.e. the date beyond which verification must be re-established for this item.
  11. Using the Proof Type drop-down field, select the parameter value used to denote the method by which verification was confirmed e.g. Driving licence, Passport, Birth certificate, Midwife's MATBI book, etc. 3.
  12. Use the Notes field to add contextual data in support of the verification procedure; the expansion arrow () can be employed to increase the size of the text entry field.
  13. Optionally, to augment the verification item with a supporting document: (1) Click on Attach Item - the Attach Item window is displayed; (2) Choose how the attachment will be stored and referenced - Application Only, Contact Only or Application and Contact; (3) Click on Next - the Attach Files window is displayed, ready to Select Files from a network location or enter the unique EDM file URL address; (4) Capture the remaining details of the verification document using the Attachment type, Attachment name and Description fields; (5) Click on Save 4.
  14. Click on Save. The verification item displayed in the Application Verification summary table reflects the applied changes.


Note

1 The search facility will automatically return all possible matches for a contact's first name and last name once the Number of characters before an automatic search commences system preference is reached.

2 The Verified By field is automatically populated with the name of the end user processing the verification item.

3 These custom values can be populated by the end user via the system parameter entitled Application Verification Proof Types.

4 Repeat this step to append further documents to the verification item record.
