To create a new void management rule

Aligned to a housing organisation's 'fit to let' approach, custom condition criteria and system action trigger points can be configured within a Void Rule definition to determine those target records (asset voids or resource episodes) that will be subject to a specific task path action plan. Categorised as either asset- or resource-focused, a void rule can be established using the following key attributes: Generic Case Type, Trigger Point, Rule Conditions, Advanced Rule Conditions.


The procedure to create a new void management rule is as follows:

  1. Navigate to Quick Menu > System > Configuration > Void Rules. The Void Rules window is displayed.
  2. Click on New Void Rule. All fields are activated ready for data entry.
  3. Enter a Description for the void management rule into the field provided e.g. Major Void - General Needs, Minor Void - Supported, etc. 1.
  4. Using the Companies drop-down field, multi-select all companies applicable to this void management rule, or choose the All option, as required 1.
  5. Using the Entity type drop-down field, select the specific focus area for the void management rule i.e. Asset or Resource.
  6. Where an Asset entity type is selected, specify the desired Trigger point for initiating the void management rule i.e. End of Agreement or New Asset Creation.
  7. Define one or more Rule conditions that will determine the operating boundaries for the void management rule - click on Define Rule to compile the logical expressions using the Add Function and Add Field options. This requisite step mirrors functionality covered separately in the topic Understanding the advanced statement builder.
  8. Alternatively, where a bespoke SQL stored procedure has been created to execute more complex void management rules, enter the procedure name into the Advanced rule field provided 2.
  9. Using the Generic case type drop-down field, select the classification of case to be launched on commencement of this void management rule, as appropriate 3.
  10. Choose an Effective from date for this void management rule i.e. the date on which it came into effect 4.
  11. Choose an Effective to date if the void management rule is to be reviewed on a specific date, or to capture a change of circumstances; a blank field means the rule will never expire.
  12. Click on Save. The new void management rule is displayed in the alphabetical list, underneath the corresponding entity type heading 5.


Tip

1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as required; the All tick box will be automatically removed once an item is deselected.

Note

1 System validation rules ensure that the description entered for each new void management rule is unique for the effective period.

2 More complex algorithms can be captured within a SQL stored procedure and linked to the void management rule in this way. Where a stored procedure has been linked, a separate rule definition cannot also be employed, and vice versa.

3 Only generic case types ascribed with the Asset Void or Resource Episode attribute (as appropriate) will be available for selection.

4 The Effective from date defaults to the current system date and cannot be left blank.

5 To amend the details of an existing void management rule, expand the entity type heading, select a rule from the alphabetical list (or type its name into the Search Void Rules field) and repeat steps 3 through 12. Only a limited number of fields can be updated once a record has been created.
