To add a work template to a void management rule

At the discretion of the end user, predefined work templates can be added to an active Void Rule (specifically, those categorised for the management of Asset entity types), and properties subject to such rules can then only be let once all repairs generated through these work templates have been completed (or cancelled). As a general principle, adopting consistent naming conventions for the work templates in circulation ensures that SOR tasks are matched correctly to the intended void management rule.


The procedure to add a work template to a void management rule is as follows:

  1. Navigate to Quick Menu > System > Configuration > Void Rules. The Void Rules window is displayed.
  2. Expand the Asset entity heading and select an associated void management rule from the alphabetical list, or type its name into the Search Void Rules field. By default the list is filtered to show Current void rules. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. Click on Work Templates. The Work Templates tab is activated.
  4. Click on New Work Template. The Void Work Template window is displayed.
  5. Using the Companies drop-down field, multi-select all companies from which to retrieve the applicable work templates, or choose the All option, as required 1.
  6. Using the Work Template drop-down field, select the template representing the collection of SOR codes applicable to any asset managed through this void rule 2.
  7. Choose an Effective from date for this linked work template i.e. the date on which the link came into effect 3.
  8. Choose an Effective to date if the link to the void rule is to be reviewed on a specific date, or to capture a change of circumstances; a blank field means the link will be continually valid.
  9. Click on Save. The mapped work template is displayed in the Mandatory Work Templates for Void Completion grid.


Tip

1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as required; the All tick box will be automatically removed once an item is deselected.

Note

1 The Search Void Rules field will match against any element of the void management rule description.

2 System validation checks ensure that only those work templates matching the chosen company subset are available for selection.

3 The Effective from date defaults to the current system date and cannot be left blank.
