The procedure to book unavailable time within a resource diary slot is as follows:
- Navigate to Quick Menu > System > Configuration > Diaries. The Diary Details window is displayed.
- Expand a calendar heading from the alphabetical list and select an associated resource diary, or type its name into the Search Diary field. By default the list is filtered to show Current linked diaries. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All

- Click on Booking Details. The Booking Details tab is activated.
- Click on Book Unavailable Time. The Select Unavailable Time Booking window is displayed.
- Enter the From date and To date for the booking using the adjacent calendar icons (
), or type in the values directly.
- Enter the Start time and End time for the duration of the booking using the adjacent clock icons (
), or type in the values directly. Alternatively, for an All day event activate the tick box provided

- Use the Reason field to add contextual information supporting the booking of unavailable time e.g. Staff Sickness, Medical Appointment, Child Care, etc.
- Click on Save
3. The new booking, indicating the period over which the resource is unavailable, is displayed in the active diary view.
Note
1 The Search Diary field will match against any element of the resource diary name.
2 The permitted time entry format is HH:MM. Specifying an All day event assumes that all inclusive dates of the booking are blocked out in full and therefore the Start time and End time fields become inactive.
3 It is only permitted to book unavailable time within a defined diary slot for that resource.
