To add a resource diary definition

The procedure to add a resource diary definition is as follows:

  1. Navigate to Quick Menu > System > Configuration > Diaries. The Diary Details window is displayed.
  2. Expand a calendar heading from the alphabetical list and select an associated resource diary, or type its name into the Search Diary field. By default the list is filtered to show Current linked diaries. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All 1.
  3. Click on Diary Definitions. The Diary Definitions tab is activated.
  4. Click on New Definition. The Select Rules window is displayed.
  5. Activate the All functional units tick box provided to assign all parameter values to this definition. Alternatively, to select a subset of matching functional units: (a) Click on the adjacent spy-glass icon () - The Functional unit select window is displayed, revealing a filtered list of functional units linked to the selected companies 2; (b) Activate the tick box against one or more functional units to be included within the contract definition - click on the expansion level pointer icon () to reveal functional unit group membership records; (c) Click on Add to transfer the chosen subset to the right ('required') pane, or Add All to transfer all displayed records, irrespective of tick box status 3; (d) Click on Select - The chosen functional unit subset is summarised in the corresponding field 4.
  6. Activate the All trades tick box provided to assign all parameter values to this resource diary definition or multi-select a subset using the adjacent drop-down field (e.g. Brickwork, Joinery, Plumbing, Plastering, etc.), as required 1 4.
  7. Activate the All repair types tick box provided to assign all parameter values to this resource diary definition or multi-select a subset using the adjacent drop-down field (e.g. Fire Damage, Water Leakage, Planned Maintenance, etc.), as required 1 4.
  8. Activate the All priorities tick box provided to assign all parameter values to this resource diary definition or multi-select a subset using the adjacent drop-down field (e.g. Emergency, Urgent, Routine, etc.), as required 1 4.
  9. Activate the All Inspector Types tick box provided to assign all parameter values to this resource diary definition or multi-select a subset using the adjacent drop-down field (e.g. Pre-inspection, Work In Progress (WIP) inspection, Post-inspection), as required 1 4.
  10. Choose an Effective from date for this resource diary definition i.e. the date on which the rules came into effect 5.
  11. Choose an Effective to date if the rules expire on a specific date or to capture a change of circumstances; a blank field means the resource diary definition will be ongoing.
  12. Click on Save 6.


Tip

1 Where only a small number of parameter values are not required, activate the tick box first and then de-select items using the drop-down field; the tick box will be automatically removed once an item is de-selected.

Note

1 The Search Diary field will match against any element of the resource diary name.

2 The returned results can be refined further by entering a component of the Functional unit name into the dynamic search field provided.

3 In the same way, use the options Remove and Remove All in conjunction with the associated tick box fields to transfer functional unit entries out of the right ('required') pane.

4 Inspection and on-site repair appointment availability for each contractor will be governed by these selections i.e. access to the diary will only be granted where the definition matches the attributes of the repair order.

5 The Effective from date defaults to the current system date and cannot be left blank.

6 Only one definition can be effective for an individual diary at any one time.
