To assign a resource to a vehicle record

The procedure to assign a resource to a vehicle record is as follows:

  1. Navigate to Quick Menu > Vehicle Management > Configuration > Vehicle Definition. The Vehicle Details window is displayed.
  2. Expand a vehicle classification within the relevant contractor subheading and select a vehicle record from the hierarchical list, or type its name into the Search Vehicle field. By default the list is filtered to show Current vehicles. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. Click on Resources. The Resources tab is activated.
  4. Click on Add Resource. The Add Resource window is displayed.
  5. To locate the Resource name of the operative: (a) Click on the adjacent spy-glass icon () - The Select Single Resource window is displayed, revealing the contractor heading associated with the vehicle record definition; (b) Click on the nested expansion level pointer icons () to reveal the associated skills and linked tradesmen; (c) Activate the tick box against a single operative to be associated with the fleet vehicle; (d) Click on Add to transfer the chosen entry to the right ('required') pane 2; (e) Click on Select - The chosen Resource name is displayed in the corresponding field 3.
  6. Where the operative is the main user of the vehicle, activate the Primary resource tick box provided.
  7. Use the Comments field to add any contextual information relevant to the resource's use of the vehicle.
  8. Choose an Effective from date for this resourcing entry i.e. the date on which their link to the vehicle came into effect 4.
  9. Choose an Effective to date if the resourcing entry for the vehicle is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the link will remain in perpetuity.
  10. Click on Save. The operative is displayed in the Resources summary table.


Note

1 The Search Vehicle field will match against any element of the registration number or contractor name.

2 In the same way, use the Remove option in conjunction with the associated tick box field to transfer the resource name entry out of the right ('required') pane.

3 System validation rules ensure that this button is only activated in the instance where a single resource name has been nominated for association with the vehicle.

4 The Effective from date defaults to the current system date and cannot be left blank.
