To add a custom reference to a vehicle record

The procedure to add a custom reference to a vehicle record is as follows:

  1. Navigate to Quick Menu > Vehicle Management > Configuration > Vehicle Definition. The Vehicle Details window is displayed.
  2. Expand a vehicle classification within the relevant contractor subheading and select a vehicle record from the hierarchical list, or type its name into the Search Vehicle field. By default the list is filtered to show Current vehicles. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations 1.
  3. Click on References. The References tab is activated.
  4. Click on New Reference. The Vehicle Reference window is displayed.
  5. Using the Reference type drop-down field, select the desired parameter value appropriate to the vehicle record 2.
  6. Enter the unique Reference value applicable to the vehicle record into the field provided.
  7. Use the Comments field to add any contextual information relevant to the custom vehicle reference.
  8. Choose an Effective from date for this custom reference i.e. the date on which it came into effect for the vehicle record 3.
  9. Choose an Effective to date if the vehicle reference is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the reference will be continually valid.
  10. Click on Confirm. The new entry is displayed in the References summary table.
  11. Repeat steps 4 through 10 to add further custom reference values to the vehicle record.
  12. Click on Save.


Note

1 The Search Vehicle field will match against any element of the registration number or contractor name.

2 These custom values can be populated by the end user via the system parameter entitled Contractor Vehicle Reference Types.

3 The Effective from date defaults to the current system date and cannot be left blank.
