The procedure to add multiple assets to a planned works programme is as follows:
- Navigate to Quick Menu > Planned & Servicing Lite > Management > Planned Program Management. The Planned Program Management window is displayed.
- Expand a status heading and select an associated planned works programme from the alphabetical list, or type its name into the Search Programs field. By default the list is filtered to show All planned programmes. An alternative filter can be applied using the Select view drop-down field: Authorised, Awaiting Authorisation, Cancelled, Complete, Entered, On Hold, Work In Progress, etc.
1.
- Click on Assets. The Assets tab is activated.
- Click on Add Assets. The Add Assets (Step 1) window is displayed.
- Optionally, to define one or more conditions to control the subset of assets to be included within the planned works programme, click on Statement Builder. The Statement Builder window is displayed, ready to compile the record filtering conditions. This requisite step is covered separately in the topic Understanding the advanced statement builder.
- Alternatively, to identify the subset of assets through an external mapping file: (a) Click on Select File and browse to the intended data lookup file using standard navigation techniques - A notification message confirms the asset mapping results
2; (b) Click on OK - The selected file name is displayed in the File upload field
3.
- Choose an Effective from date for the finalised subset of asset records i.e. the date stamp for their inclusion within the planned works programme
4.
- Using the SOR template drop-down field, multi-select all work instruction templates that will be applied to the assets as part of the planned programme, or choose the All option, as required
5
1.
- Click on Next. The Add Assets (Step 2) window is displayed, revealing all asset records matching either the specified conditions or external reference list, as appropriate, in the Assets summary table.
- To exclude any asset record from the final subset, deactivate the adjacent Select tick box provided; the Select All and Deselect All options can be used to manage all asset records en bloc.
- Click on Add. A notification message is displayed to the end user, confirming the number of assets successfully added to the planned works programme; once acknowledged, the chosen records are displayed in the Assets summary table.
Tip
1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is deselected.
Note
1 The Search Programs field will match against any element of the planned works programme name.
2 The standard file format supported by the upload mechanism is CSV (Comma Separated Variable), with the first column containing a list of asset reference numbers relevant to the planned works programme and the first row reserved for header information only.
3 Where an algorithm has been constructed to control the subset of assets, an external reference file cannot be employed, and vice versa; the corresponding Clear Criteria and Clear File options are available to facilitate the two alternative selection routes.
4 The Effective from date defaults to the current system date and cannot be left blank.
5 Only SOR templates added to the planned works programme will be available for selection.
