To add a previous tenancy record to a home buy case

The procedure to add a previous tenancy record to a home buy case is as follows:

  1. Using the Advanced search spy-glass (), select Home Buy Case as the Search for and Search by category, and enter the Case ID as the search criteria 1.
  2. With the Results tab in current focus, double-click on the row containing the exact record match, or return to the Criteria tab and refine the search filters. The Home Buy Case Details window is displayed.
  3. Click on Previous Tenancies. The Previous Tenancies tab is activated.
  4. Click on New Previous Tenancy. The Previous Tenancy window is displayed.
  5. Using the Tenancy type drop-down field, select an appropriate parameter value to reflect the classification of the previous tenancy i.e. External or Internal.
  6. Using the Purchaser name drop-down field, select the contact with responsibility for the previous tenancy 2.
  7. For an External tenancy type only, select the Landlord associated with the previous tenancy using the spy-glass icon () i.e. the name of the housing organisation with whom the tenancy agreement was held; otherwise, proceed to step 10.
  8. With the Search Group window displayed, enter sufficient details into the contact group fields provided and click on Search. The Select Group window is displayed, returning all possible matches.
  9. Double-click on the row containing the exact record match or use Refine Search to enter alternative criteria. The name of the contact group is displayed in the corresponding Landlord field.
  10. Select the Address of the property against which a previous tenancy agreement was secured using the spy-glass icon (). The Search Address window is displayed.
  11. Enter the first few characters of the address into the dynamic search field provided 3. All possible matches are returned in the Address summary table.
  12. Double-click on the row containing the exact record match or revise the entered address component (alternatively, click on New Address to create a new property address relevant to the previous tenancy agreement, not previously held). Once selected, the full address is displayed in the corresponding field, and the associated Agreement reference and Tenure type fields for the linked tenancy are automatically populated 4.
  13. Alternatively, where the previous tenancy was under the jurisdiction of the Armed forces, activate the tick box provided and choose the relevant Armed forces branch using the corresponding drop-down field; all superfluous data entry fields are hidden from view.
  14. Enter the Start date of the previous tenancy agreement using the calendar icon (), or type in the value directly (format DD/MM/YY or DD/MM/YYYY).
  15. Enter the End date of the previous tenancy agreement using the calendar icon (), or type in the value directly (format DD/MM/YY or DD/MM/YYYY) i.e. the date on which the tenancy expired.
  16. Click on Next. The Qualifying Contact window is displayed, ready to identify the stakeholders to whom the previous tenancy agreement relates. This requisite step mirrors that covered separately in the topic To link a qualifying contact to a previous tenancy record in a home buy case.
  17. Click on Save. The historical record is displayed in the Previous Tenancies summary table.


Note

1 Additional search criteria may need to be employed (e.g. start and end date ranges, stage, company, status) to ensure that the correct home buy case is returned; an alternative Search by category of Contact or Contact Group may be selected to extend the available search fields.

2 This list includes only those contact records that are linked to the current home buy case.

3 The field will operate as a dynamic search function and match against any element of the property address, based on the successive characters entered.

4 The populated field values are obtained from the associated agreement where the selected property is the main asset; for an External tenancy type, these values can be amended, at the end user's discretion.
