To update a need for an application

The procedure to update a need for an application is as follows:

  1. Using the global search facility, type in the first few characters of the application contact 1.
  2. Double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon ().
  3. Click on Contact Details. The Contact Details window is displayed for the current contact.
  4. Click on Application. The Application tab is activated, revealing a list of all enquiries and applications associated with the contact in the Application summary table.
  5. Double-click on the row containing the specific application for which a need will be revised. The Application Reference window is displayed.
  6. Click on Needs. The Needs tab is activated.
  7. Double-click on the row containing the specific need to be revised. The Update Need window is displayed.
  8. Where the need is held for reference purposes only i.e. it is not to be used for matching purposes, activate the Exclude tick box provided 2.
  9. Using the Applicable Lists drop-down field, ensure that the selected lists are still valid for the specific need and apply any required changes.
  10. Using the Additional priority if matched drop-down field, ensure that those conditional priority weightings ascribed to an application only upon a successful match are still valid, and apply any required changes 3.
  11. Amend the Effective from date for this revised need, as required i.e. the date on which it came into effect 4.
  12. Amend the Effective to date for this revised need, as required i.e. to specify the valid duration; a blank field means the need will be continually valid.
  13. Click on Confirm. The applied changes are reflected in the Needs summary table.
  14. Click on Save.


Note

1 The search facility will automatically return all possible matches for a contact's first name and last name once the Number of characters before an automatic search commences system preference is reached.

2 By way of example, an applicant may be assigned the individual needs of, say, a ground floor property and a lift; when matching to a property with a lift, the ground floor need could logically be excluded.

3 Only those priority weightings classified as Manual will be available for selection.

4 The Effective from date defaults to the current system date and cannot be left blank.
