Any number of warranty documents can be linked to a stock condition replacement item as separate file attachments, providing a single point of reference for all terms, conditions, exclusions and cover periods provided by the manufacturer or servicing contractor. Images, video clips and standard word processing document formats are all supported.
The link a warranty document to a stock condition replacement item is as follows:
- Using the global search facility, type in the first few characters of the asset address

- With the results displayed in the Asset tab, double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon (
).
- Click on Asset Details. The Asset Details window is displayed for the current asset.
- Click on Stock Condition
1. The Stock Condition tab is activated, revealing those stock condition elements that are pertinent to the asset record in current focus.
- Expand the Replacements subheading within the nested stock condition element structure and highlight the specific entry against which the terms of warranty have been recorded. The manufacturer's guarantee or servicing arrangements are displayed in the Warranty grid.
- Double-click on the row matching the specific entry against which documents are to be attached. The Warranty Details window is displayed.
- Navigate to Menu > Attachments. The Attachment window is displayed.
- Click on New Attachment. The Attach Files window is displayed.
- Browse to the intended document using the Select File button
2. The file name is displayed in the Browse network files field.
- Using the Attachment type drop-down field, select a parameter value to categorise the nature of the document or file

- Enter the Attachment name into the field provided

- Use the Description field to add contextual notes that detail the background to the attachment.
- Enter the Date received using the calendar icon (
), or type in the value directly (format DD/MM/YY or DD/MM/YYYY).
- Click on Save. The attributes of the file, including the type, are displayed in the Attachments summary table.
- Repeat steps 8 through 14 to add further warranty documents to the stock condition replacement item, or Close to return to the Warranty Details window. The Attachments counter is incremented accordingly.
- Click on Save.
Tip
1 Use the Left (
) and Right (
) scrolling arrows to reveal additional tabs that might be hidden from view.
2 To aid in identification purposes, it is good practice to devise and uphold a consistent naming convention for all attached files.
Note
1 The search facility will return all possible matches for any corresponding address field once the Number of characters before an automatic search commences system preference is reached.
2 File attachments of type DOC, PDF, JPG, GIF, PNG, BMP, HTML, WAV, WMV and MP4 are all supported.
3 These custom values can be populated by the end user via the general lookup parameter entitled Attachment Type.
