To create a new message definition

The operation, target recipient cohort and content of each planned bulletin are controlled through the Message Definition form, along with the required level of importance: High or Normal. This categorisation determines whether the bulletin will appear in the Important Messages pane on the Tenant Portal Home screen, or simply accessible through the more general My Messages repository, along with other 'standard' notifications.


The procedure to create a new message definition is as follows:

  1. Navigate to Quick Menu > System > Portal Configuration > Message Definition. The Message Definition window is displayed.
  2. Click on New Message 1. All fields are activated ready for data entry.
  3. Enter the Message name into the field provided 2.
  4. Use the Description field to add contextual information pertinent to the scope and purpose of the message definition 1.
  5. Using the Importance drop-down field, select the message categorisation level that will determine how it is presented to customers within Tenant Portal i.e. High or Normal 3.
  6. Using the Companies drop-down field, multi-select all companies relevant to the operating boundaries of this message definition, or choose the All option, as required 2.
  7. Choose an Effective from date for this message definition i.e. the date on which it came into effect 4.
  8. Choose an Effective to date if the message definition is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the bulletin will be continually valid.
  9. Click on Save. The new message definition is displayed in the alphabetical list.


Tip

1 Entering sufficient detail about the message definition will ensure that it can be uniquely identified.

2 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is deselected.

Note

1 Upon first access, all fields are automatically activated ready for data entry; hence the New Message button is inactive.

2 System validation rules ensure that the name entered for each new message is unique for the selected company within the effective period.

3 A message definition marked as High indicates that it will appear in the Important Messages pane; Normal messages will simply be accessible through the My Messages repository.

4 The Effective from date defaults to the current system date and cannot be left blank.
