To create a new homelessness activity

The procedure to create a new homelessness activity is as follows:

  1. Navigate to Quick Menu > Homelessness > Configuration > Activity Types. The Homelessness Activity Type Configuration window is displayed.
  2. Click on New Activity Type 1. All fields are activated ready for data entry.
  3. Enter a Description for the homelessness activity into the field provided 2.
  4. Using the Companies drop-down field, multi-select all companies for which this homelessness activity is relevant, or choose the All option, as required 1.
  5. Using the Categories drop-down field, multi-select all desired custom values to reflect the nature and focus of the homelessness activity, or choose the All option, as required e.g. Assessment, Interim Responsibility, Internal Review, Legal Appeal, etc.
  6. Multi-select all desired attributes of the homelessness activity to control its operation and characteristics, based on the overarching master category. An explanation of each available attribute is summarised in the table below.
  7. Using the Applicable to contact drop-down field, select the specific contact mapping option to determine the breadth of focus for this activity: All Contacts, Main Applicant, Responsible Contacts or Select on Creation 3.
  8. Use the Information field to add contextual notes detailing the scope of the homelessness activity.
  9. Enter Keywords into the field provided, separated by commas, to support extended searching opportunities for the homelessness activity.
  10. Choose an Effective from date for this homelessness activity i.e. the date on which it came into effect 4.
  11. Choose an Effective to date if the homelessness activity status is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the activity type will never expire.
  12. Click on Save 5. The new homelessness activity is displayed in the alphabetical list, underneath the assigned custom category headings.


Tip

1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as required; the All tick box will be automatically removed once an item is deselected.

Note

1 Upon first access, all fields are automatically activated ready for data entry; hence the New Activity Type button is inactive.

2 System validation rules ensure that the description entered for each new homelessness activity is unique for the effective period.

3 The Select on Creation option allows an end user to identify the relevant contacts at the point of adding the activity to a specific homelessness case file.

4 The Effective from date defaults to the current system date and cannot be left blank.

5 To amend the details of an existing homelessness activity, expand a custom category heading, select an activity from the alphabetical list (or enter its name into the Search Activity Types field) and repeat steps 3 through 11. By default the list is filtered to show Current activities. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations. Only a limited number of fields can be updated once a record has been created.

Prevention and Relief

All case progression contributions linked to the activity will be managed through the Prevention Activities tile; use the corresponding Prevention type drop-down field to capture the specific action to be undertaken e.g. Debt Advice, Mediation, Sanctuary Scheme Measures, etc. Where applicable, use the region-specific Prevention activity category and Prevention activity drop-down fields to classify the prevention measure implemented through this activity type.

Assessment activity

Homelessness

All case progression contributions linked to this activity will be managed through the Assessment Activities tile.

Review activity

Homelessness

All case progression contributions linked to this activity will be undertaken as a consequence of a formal request to review the outcome, and therefore accessible via the Reviews tile.
