The procedure to create a new automated communication is as follows:
- Navigate to Quick Menu > Communication Engine > Communication > Automated Communication. The Automated Communication Creation window is displayed.
- Expand a module and select an associated entity from the alphabetical list, or type its name into the Search entities field

- Click on Add Automated Communication. The Entity field is populated with the selected entity e.g. Repairs Request, and all other fields are activated ready for data entry.
- Enter the Routine name into the field provided i.e. the name of the automated communication

- Using the Communication name drop-down field, select an appropriate communication definition

- Using the Companies drop-down field, multi-select all companies for which this automated communication is relevant, or choose the All option, as required

- Choose an Effective from date for this automated communication i.e. the date on which it came into effect

- Choose an Effective to date if the automated communication is to be time bound; a blank field means the communication will never expire.
Tip
1 To aid in identification purposes, it is good practice to devise and uphold a consistent naming convention for all automated communications.
2 Where only a small number of parameter values are not required, activate the All tick box first and then de-select individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is de-selected.
Note
1 The Search entities field will match against any element of the entity name.
2 All components of a communication - the format, the style, the recipient-specific fields (merge tags), the output channels (Letter, Email, Text Message), the designated queue - are controlled within the communication definition. Only communications defined as Scheduled and relevant to the chosen Entity will be available for selection.
3 The Effective from date defaults to the current system date and cannot be left blank.
