To create a new application enquiry for a contact

The procedure to create a new application enquiry for a contact is as follows:

  1. Using the global search facility, type in the first few characters of the application contact 1.
  2. Double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon ().
  3. Click on Contact Details. The Contact Details window is displayed for the current contact.
  4. Click on Application. The Application tab is activated.
  5. Click on New Application. The Select Application Type window is displayed.
  6. Using the Application Type drop-down field, select an appropriate parameter value for the enquiry e.g. General Needs, Shared Ownership, Sheltered Housing, Professional Training Programme, etc.
  7. Click on Next. The New Application window is displayed, revealing a list of groups to which the contact is a member in the Contact Group Details summary table.
  8. Highlight the row containing the desired contact group for the application. Alternatively, use the New Group or Clone Group options to define a specific group relevant to the application type; the new group is displayed in the summary table ready for selection 2.
  9. Optionally, to verify the Responsible members for the new application, click on View Member. The New Application window is displayed, revealing the current group membership details; click on Close.
  10. Click on Confirm. The Application Enquiry form is displayed, revealing the first page of questions included on the enquiry form 3.
  11. Enter a response against each question in the format governed by the data type and associated criteria; select alternative pages within the enquiry form using the drop-down field.
  12. Click on Submit Application Enquiry. The question responses are validated and appropriate advice presented to the end user, confirming the 'pass' or 'fail' status of the enquiry.
  13. Click on Continue. For a successful enquiry, the associated application form is launched ready for completion and the application status is set to In Progress; this procedural step is covered separately in the topic To record contact responses on an application form. For an unsuccessful enquiry, no further action is taken.
  14. Click on Close.


Note

1 The search facility will automatically return all possible matches for a contact's first name and last name once the Number of characters before an automatic search commences system preference is reached.

2 Where a new or cloned group is selected for the contact application, the group is automatically created with a proposed name i.e. the extraneous details can be updated at a later date outside of the application process; for further details see the separate topic To create a new contact group.

3 This functionality is activated only in the instance where an enquiry form has been linked to the application type.
