The procedure to create a financial posting map is as follows:
- Navigate to Quick Menu > System > Configuration > Financial Posting. The Financial Posting Map Details window is displayed.
- Click on New Map. All fields are activated ready for data entry.
- Enter a Description for the new financial posting map into the field provided

- Using the Company drop-down field, multi-select all companies for which this financial posting map is relevant.
- Choose an Effective from date for this financial posting map i.e. the date on which it came into effect

- Choose an Effective to date if the financial posting map expires on a specific date or to capture a change of circumstances; a blank field means the map will never expire.
- Enter the profit and loss ledger code into the Posting account field provided. Alternatively, where integration with a third party financial system supports the dynamic retrieval of valid codes contained within a predefined accounting structure, use the spy-glass icon (
) to capture the desired entry.
- Where a bespoke SQL stored procedure has been created to control the account posting rules, enter the procedure name into the Posting account stored procedure field provided

- Where multiple transactions linked to the same profit and loss ledger code are to be posted as a single entry, activate the Posting account consolidation tick box provided

- Enter the balance sheet ledger code into the Contra account field provided. Alternatively, where integration with a third party financial system supports the dynamic retrieval of valid codes contained within a predefined accounting structure, use the spy-glass icon (
) to capture the desired entry.
- Where a bespoke SQL stored procedure has been created to control the contra account posting rules, enter the procedure name into the Contra account stored procedure field provided

- Where multiple transactions linked to the same balance sheet ledger code are to be posted as a single entry, activate the Contra account consolidation tick box provided.
- Where a supplementary accounting structure is employed, repeat steps 7 through 12, this time for the corresponding 'second posting account' fields provided.
- Where a bespoke SQL stored procedure has been created to facilitate the capture of additional analysis fields, enter the procedure name into the Additional analysis stored procedure field provided

- Using the Transaction type drop-down filed, select the type of transactions to be included in the export (e.g. Repairs invoice detail, Works order commitments, etc.).
- Using the Additional analysis fields drop-down field, multi-select any filtered module entity fields, as required, corresponding to the transaction type (e.g. Repair invoice contractor, Repair commitment works order priority, etc.)

- Click on Save. The new financial posting map appears in the alphabetical list.
Note
1 System validation rules ensure that the description entered for each new financial map is unique.
2 The Effective from date defaults to the current system date and cannot be left blank.
3 The ledger code mapping rules defined within a stored procedure will take precedence over the discrete posting accounts entered.
4 Transaction consolidation will not be applied if additional analysis fields are exported.
