The procedure to add a financial posting definition is as follows:
- Navigate to Quick Menu > System > Configuration > Financial Posting. The Financial Posting Map Details window is displayed.
- Click on Definition. The Definition tab is activated.
- Click on New Definition. All fields are activated ready for data entry.
- Enter a Description for the new financial posting definition into the field provided

- Using the Company drop-down field, multi-select all companies for which this financial posting definition is relevant.
- Choose an Effective from date for this financial posting definition i.e. the date on which it came into effect 2.
- Choose an Effective to date if the financial posting definition expires on a specific date or to capture a change of circumstances; a blank field means the definition will never expire.
- Where the definition will manage VAT transactional elements, activate the VAT related tick box provided 3.
- Using the Transaction type drop-down filed, select the type of transactions to be managed by the definition (e.g. Repairs invoice detail, Works order commitments, etc.).
- Using the Posting map drop-down field, select the map to which the definition relates.
- Enter the Definition order value into the field provided i.e. to determine the sequence in which multiple definitions for the same posting map will be processed. The Up and Down arrows are available to increment or decrement the value, as required.
- Click on Save. The new definition is displayed in the alphabetical list underneath the Transaction type heading 4.
Note
1 System validation rules ensure that the description entered for each new financial posting definition is unique.
2 The Effective from date defaults to the current system date and cannot be left blank.
3 Corresponding definitions must coexist to manage separately the net and VAT transactional elements.
4 To amend the details of an existing financial posting definition, select the desired definition from the alphabetical list or type its name into the Search Posting Map Definition field and repeat steps 5 through 12.
