To complete a homelessness task

The procedure to complete a homelessness task is as follows:

  1. Using the Advanced search spy-glass (), select Homelessness Case as the Search for and Search by category, and enter the Case ID as the search criteria 1.
  2. With the Results tab in current focus, double-click on the row containing the exact record match, or return to the Criteria tab and refine the search filters. The Homelessness Case Details window is displayed.
  3. Click on Prevention Activities, Assessment Activities or Reviews, as appropriate 2. The Prevention Activities / Assessment Activities / Reviews tab is activated, revealing all matching activity records linked to the homelessness case, as displayed in the Activities summary table.
  4. Highlight the specific row matching an activity containing one or more linked tasks. All ad hoc tasks assigned to the homelessness activity are displayed in the Tasks summary table, together with those included in the underlying workflow structure 1.
  5. Highlight the specific task to be completed within the overall workflow path.
  6. Click on Task Actions. The Task Actions window is displayed.
  7. Using the Select action drop-down field, select the specific status progression value of Complete Task 3.
  8. Click on Next. The Complete Task window is displayed.
  9. Enter the Completion date of the homelessness task using the calendar icon () or type in the value directly; a time may also be specified using the clock icon () 4.
  10. Using the Completion reason drop-down field, select a parameter value to qualify the circumstances surrounding the completion of the homelessness task e.g. Tenant interview appointment confirmed, Referral notes received, etc. 5.
  11. Use the Notes field to add contextual data in support of the homelessness task being completed.
  12. Using the Late completion reason drop-down field, select a parameter value to qualify the circumstances surrounding the SLA target completion date having been exceeded for the homelessness task; the corresponding Late completion notes field can be used to capture contextual data in support of the SLA breach 6.
  13. Click on Save. With the Tasks summary table in current focus, the status of the homelessness task is set to Complete and the End date is stamped with the recorded value; where a dependent task exists in the overall workflow structure, its status is automatically updated from Pending to Live.


Tip

1 By default, all homelessness tasks are sorted numerically by their unique reference; to aid analysis, rows can be reordered by clicking on any of the available headings.

Note

1 Additional search criteria may need to be employed (e.g. start date range, company, status, category) to ensure that the correct homelessness case is returned; an alternative Search by category of Contact or Contact Group may be selected to extend the available search fields.

2 Custom categories linked to the homelessness case, and therefore the overarching master category, will determine the availability of the Assessment Activities tab; furthermore, the Reviews tab only becomes active once a Decision Date is recorded for the current assessment record.

3 This option is active only for homelessness tasks that are currently in progress i.e. with a status of Live.

4 The permitted date entry format is DD/MM/YY or DD/MM/YYYY; the permitted time entry format is HH:MM.

5 These custom values can be populated by the end user via the general lookup parameter entitled System Case Task Completion Reasons.

6 These fields are activated only in the instance where the SLA target date for the homelessness task has expired.
