Where a stock condition attribute or replacement item has been appended to an asset record, the associated warranty cover provided in the form of a manufacturer's guarantee or servicing arrangements can be defined in more detail using a series of custom characteristics. As a prerequisite, any number of characteristics can be defined against the Warranty entity, choosing the appropriate data type - Decimal, Integer, True or False, Text. etc. - that will govern the permitted response in each instance.
The procedure to add a characteristic to a warranty cover entry is as follows:
- Using the global search facility, type in the first few characters of the asset address
1.
- With the results displayed in the Asset tab, double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon (
).
- Click on Asset Details. The Asset Details window is displayed for the current asset.
- Click on Stock Condition
1. The Stock Condition tab is activated, revealing those stock condition elements that are pertinent to the asset record in current focus.
- Expand the Attributes or Replacements subheading within the nested stock condition element structure and highlight the specific entry against which the terms of warranty have been recorded. The manufacturer's guarantee or servicing arrangements are displayed in the Warranty grid.
- Double-click on the row matching the specific entry against which characteristics are to be recorded. The Warranty Details window is displayed.
- Click on New Characteristic. The Characteristic window is displayed.
- Using the Characteristic type drop-down field, select the desired parameter value to define more closely the scope of the warranty e.g. Excludes wear and tear, Excludes cosmetic defects, etc.
2.
- Use the Value field to enter a corresponding characteristic value in the format governed by the data type and associated criteria. For numeric responses, the Up and Down arrows are available to increment or decrement the value, as required.
- Choose an Effective from date for this record i.e. the date on which the warranty characteristic came into effect
3.
- Choose an Effective to date if the warranty characteristic needs to be reviewed on a specific date or to capture a change of circumstances; a blank field means the details will be continually valid.
- Click on Save. The new Characteristic is added to the summary grid.
- Repeat steps 7 through 12 to add further characteristics to the warranty cover.
- Click on Save.
