To review the exclusions within a data archive batch

Where the exclusion status of a target entity record has been manually set to 'Do not archive' - perhaps in light of a pending investigation - this can be subsequently reversed. For those entities that are excluded from the archiving process in this way, a mandatory review period (calculated in months) must also be recorded; a requirement that underpins the meticulous management and monitoring of all data repositories. The Archive Exclusion Reviews Home Pane consolidates into one convenient dashboard all data entities that are currently excluded, ready for analysis and coordinated activity. (Each registered system user has the opportunity to configure their dashboard to display information that is most pertinent to them, with the selected profile options then appearing as 'panes', giving specific focus to those key aspects of data - see To define the user profile for more information.)


The procedure to review the exclusions within a data archive batch is as follows:

  1. Navigate to Home (), if not already active. The default Home panes are displayed.
  2. Click on Archive Exclusion Reviews 1. The Archive Exclusion Reviews pane is in focus, revealing those data entities manually excluded from the archiving process  that are now ready for review i.e. the originally defined review period has lapsed.
  3. Click on Expand to increase the size of the pane up to the full viewing area, as required 2. Certain fields are worthy of special note and are captured in the table below 3.
  4. Activate the Select tick box against one or more excluded entity records to be reviewed; it is important to only group together data elements where the circumstances surrounding the latest archiving decision are identical.
  5. Click on Complete Review. The Do Not Archive window is displayed.
  6. By default, the Do not archive attribute is deselected - click on Save to indicate that all grouped data elements can now be released for archiving 4.
  7. Alternatively, to extend the exclusion period for the subset of data elements, activate the Do not archive attribute and complete the supplementary fields: (a) Using the Do not archive reason drop-down field, select a parameter value to qualify the circumstances surrounding the further exclusion 5; (b)  Enter the Review in (months) to capture the desired duration period prior to the next review being warranted; (c) Use the Comments field to add contextual information supporting the extended exclusion period.
  8. Click on Save. The review outcome details are reflected in the summary grid.


Note

1 The default Home panes are configured at user account level.

2 To revert the pane back to the original size click on Collapse.

3 A subset of fields are visible by default; additional fields can be revealed or hidden via the Menu option.

4 The Record Archiving system scheduled event will include these in the next data processing cycle.

5 These custom values can be populated by the end user via the system parameter entitled Do Not Archive Reasons.


Field

Description

Entity Type

The classification of data component being managed through the data archiving process.

Reference

The unique identifier ascribed to the data component.

Description

The contextual details linked to the data component, confirming its origin and purpose.

Do not archive reason

The custom parameter assigned to the data component at the point of exclusion from the archive.

Review Date

The calculated date stamp defining the review milestone.

Comments

Additional notes appended to the exclusion entry, highlighting the mitigating circumstances surrounding the entity record being manually omitted from the archiving process e.g. Legal proceedings are ongoing at this time.
