To record a decant episode for a rent agreement

The procedure to record a decant episode for a rent agreement is as follows:

  1. Using the global search facility, type in the first few characters of either the responsible contact for the agreement or the asset address 1.
  2. Double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon ().
  3. Click on Agreements (contact summary 360 view) or History (for an asset) 2. The Agreements tile (or History tab) is activated, revealing a list of all agreements associated with the contact (or asset) in the Agreements (or Rent) summary table.
  4. Double-click on the specific agreement linked to the permanent address from where the decant will take place. The Agreement Details window is displayed.
  5. Click on Occupation. The Occupation tab is activated, revealing a list of all occupations associated with the agreement in the Occupant Groups summary table.
  6. Highlight the specific row matching the current occupation episode from where the decant will take place 3.
  7. Click on the Occupant Details section level pointer icon () to expand the associated details of the selected occupation.
  8. Using the Decant agreement drop-down field, select an alternative agreement suitable for the decant situation and proceed to step 13 4.
  9. Alternatively, select the Temp address for the temporary residence using the spy-glass icon () e.g. a local hotel. The Search Address window is displayed.
  10. Enter sufficient address details into the search fields provided and click on Search. The Search Address window is displayed, returning all possible matches.
  11. Activate the Select tick box against the row containing the exact record match or use Refine Search to enter alternative criteria.
  12. Click on Confirm. The address of the selected property is displayed in the Temp address field 1.
  13. Enter the End date of the current occupation using the calendar icon (), or type in the value directly (format DD/MM/YY or DD/MM/YYYY).
  14. Using the End reason drop-down field, select a parameter value to qualify the circumstances of the decant episode e.g. Flood Damage.
  15. Use the End notes field to add any contextual data that is relevant to the current occupation termination e.g. Decant - House Flooded.
  16. Click on Save.


Tip

1 To ensure that all postal correspondence is redirected appropriately, the temporary address can be linked manually to the occupant group record and ascribed the Send post here attribute.

Note

1 The search facility will automatically return all possible matches for a contact's first name and last name once the Number of characters before an automatic search commences system preference is reached; it will likewise return all possible matches for any corresponding address field.

2 The availability and customisation of all Contact Summary 360 View tiles is controlled separately for each end user via their unique system profile.

3 A decant can only be linked to a current occupation episode i.e. the end date must be in the future or not yet recorded.

4 Only agreements linked to the current occupation group are displayed ready for selection, and therefore the creation of a new agreement for the relocation property is a prerequisite step.
