The procedure to define an appointment rule for a user account is as follows:
- Navigate to Quick Menu > Security > Access Rights > User Details. The User Details window is displayed.
- Expand a group membership heading and select a user account from the alphabetical list, or type their name into the Search Users field. By default the list is filtered to show Current users. An alternative filter can be applied using the Select view drop-down field: Expired, Future or All combinations

- Click on Appointments. The Appointments tab is activated.
- Click on New Appointment Rule. The New Appointment Rule window is displayed.
- Using the Entity type drop-down field, select the system component or focus area against which appointments will be scheduled for this user account e.g. Asset, Contact, Contact Group, Rent Agreement, etc.
- Using the Appointment categories drop-down field, multi-select the range of services and customer engagement activities that can be fulfilled by this user account e.g. Home Visit, Tenancy Enforcement, Sign-up Consultation, etc.

- Using the Appointing roles drop-down field, multi-select the range of operational roles that will be granted permission to create appointments on behalf of this user account.
- Choose an Effective from date for this appointment rule i.e. the date on which it came into effect

- Choose an Effective to date if the appointment rule is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the appointment rule will never expire.
- Click on Confirm. The new scheduled booking constraints are displayed in the Appointment Rules summary table.
- Click on Save

Tip
1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is deselected.
Note
1 The Search Users field will match against the Full name of the user account and not their User name.
2 The Effective from date defaults to the current system date and cannot be left blank.
3 To amend the details of an existing appointment rule, double-click on the matching entry in the Appointment Rules summary table and repeat steps 6 through 10. Only a limited number of fields can be updated once a record has been created.
