To create a new quote for a repair order

The procedure to create a new quote for a repair order is as follows:

  1. Using the global search facility, type in the first few characters of either the contact who requested the repair or the asset address 1.
  2. Double-click on the row containing the exact record match. Where the expected record is not listed, a more advanced search can be conducted using the spy-glass icon ().
  3. Click on Repair Requests (contact summary 360 view) or Repairs (for an asset) 2. The Repairs History tile (or Repairs tab) is activated, revealing a list of all recorded repairs in the Repairs History summary table.
  4. Double-click on the row containing the specific repair request against which a new works order quotation is to be created. The Repair Request window is displayed.
  5. Click on Orders. The Orders tab is activated and all raised orders are displayed in the List of Work Orders summary table.
  6. Double-click on the row containing the specific works order for which a new quotation will be created. The details of the order are displayed.
  7. Click on Create Quote. The Quotes tab is activated.
  8. Enter the Quote details into the field provided.
  9. Using the Priority drop-down field, select a parameter value appropriate for the quotation e.g. Emergency, Urgent, Planned, etc. The Target completion date & time displays the deadline for contractor quote submissions, derived from the rules set for that priority.
  10. Click on Select Contracts. The Search Contracts window is displayed.
  11. Enter sufficient contract details into the search fields provided and click on Search. The Select Contracts window is displayed.
  12. Using the Select tick boxes provided, choose all desired contracts from the filtered list that will be included in the quotation process 3.
  13. Click on Save. The selected contracts are displayed in the Contracts summary table.
  14. Click on Save 4.


Note

1 The search facility will automatically return all possible matches for a contact's first name and last name once the Number of characters before an automatic search commences system preference is reached; it will likewise return all possible matches for any corresponding address field.

2 The availability and customisation of all Contact Summary 360 View tiles is controlled separately for each end user via their unique system profile.

3 Only contractors that allow quotes will be available for selection.

4 The order status is automatically set to On Hold until a successful quote has been confirmed.
