To create a new planned work project

Adopting a proactive and managed approach to the delivery of improvement programmes is one of the most cost-effective ways of keeping properties in good condition and can significantly reduce the number of day-to-day repairs. Through the creation of a planned work project, it is possible to set target dates around the commencement and likely completion of each identified project, as well as the allocated budget constraints.


The procedure to create a new planned work project is as follows:

  1. Navigate to Quick Menu > Asset Management > Configuration > Configure Planned Work Projects. The Configure Planned Work Project window is displayed.
  2. Click on New Project 1. All fields are activated ready for data entry.
  3. Enter a Description for the planned work project into the field provided e.g. Kitchen Replacement - Area 1, Bathroom Replacement - Area 2, Boiler Replacement - Plan A, etc. 2.
  4. Using the Companies drop-down field, multi-select all companies relevant to the operating boundaries of this planned work project, or choose the All option, as required 1.
  5. Enter the Start date using the calendar icon (), or type in the value directly (format DD/MM/YY or DD/MM/YYYY) i.e. the actual or anticipated commencement date of the planned work project.
  6. Enter the End date, as appropriate, using the calendar icon (), or type in the value directly (format DD/MM/YY or DD/MM/YYYY) i.e. the actual or projected planned work project completion date.
  7. Enter the allocated Budget figure for the planned work project into the field provided. The Up and Down arrows are available to increment or decrement the value, as required.
  8. Where the planned work project and allocated budget have been approved, activate the Signed off tick box provided.
  9. Choose an Effective from date for this planned work project i.e. the date on which it came into effect 3.
  10. Choose an Effective to date if the planned work project is to be time bound; a blank field means its utilisation for project activities is continually valid.
  11. Click on Save. The new planned work project is displayed in the alphabetical list.


Tip

1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is deselected.

Note

1 Upon first access, all fields are automatically activated ready for data entry; hence the New Project button is inactive.

2 System validation rules ensure that the description entered for each new planned work project is unique for the effective period.

3 The Effective from date defaults to the current system date and cannot be left blank.
