The procedure to create a new information management data classification type is as follows:
- Navigate to Quick Menu > Information Management > Configuration > Information Management Configuration. The Information Management Configuration window is displayed.
- Click on Information Data Tag Types. The Information Data Tag Types tab is activated.
- Click on New Data Tag Type. The Information Data Tag Type window is displayed.
- Enter a Description for the new information management data classification type into the field provided

- Using the Companies drop-down field, multi-select all companies for which this information management data classification type is relevant, or choose the All option, as required

- Using the Consent type drop-down field, multi-select all parameter values pertinent to this information management data classification type e.g. Internal Processing, Contractor Services, Support Provision Agencies, etc.
- Using the Data purpose drop-down field, multi-select the specified, explicit and legitimate reasons for utilising the data e.g. Tenancy Management, Repairs Management, Professional Training Courses

- Choose an Effective from date for this information management data classification type i.e. the date on which it came into effect

- Choose an Effective to date if the classification type is to be reviewed on a specific date or to capture a change of circumstances; a blank field means the parameter will never expire.
- Click on Confirm. The new data classification parameter is displayed in the Information Data Tag Types summary table.
- Repeat steps 3 through 10 to add further data classification types within the information management framework.
- Click on Save.
Tip
1 Where only a small number of parameter values are not required, activate the All tick box first and then deselect individual items from the full list, as appropriate; the All tick box will be automatically removed once an item is deselected.
Note
1 System validation rules ensure that the description entered for each new data classification type is unique for the effective period.
2 These custom values can be populated by the end user via the general lookup parameter entitled Information Data Purpose.
3 The Effective from date defaults to the current system date and cannot be left blank.
