Information management overview

With the introduction of the new General Data Protection Regulation (GDPR), the use of tenants' personal data requires a much greater degree of responsibility to ensure all processing is conducted in such a way as to protect the privacy rights of each individual. In practice, housing organisations must adopt a clear and well-understood strategy of openness, transparency and integrity when dealing with data, seeking explicit customer consent for the use of all personal information, where it is required.

Civica Cx Housing provides live access to a wealth of tenant-centric information, gathered and presented within the many varied and interconnected modules, steering and informing housing professionals in their service provision activities. Whether processing a repair request, implementing a campaign initiative or tackling the impact of anti-social behaviour, the storage, availability and consolidation of all holistic data is fundamental to successful outcomes. The Information Management module therefore supports 'controllers' in tracking the use of this data, not just in terms of its specified, explicit and legitimate purpose, but also the stakeholders, contractors and other external agency staff with whom it is being shared. At its heart, the module supports housing organisations in being able to demonstrate that they are compliant under these new regulations, affording the ability to store records of all consent sought, the outcome of that request - granted or refused - and specific instances of where that data has been shared. A Subject Access Request received from a contact can also be processed easily through a prescribed report, consolidating all pertinent details underneath the customised data classification and consent types. For business managers and data controllers, all consent compliance metrics are presented in a dashboard-style Home pane, with the data 'view' being steered using the underlying classification parameters.
